Time Approval

Time and entry exceptions are reported and approved on a weekly basis.

All exceptions must be entered by the user by Fridays at 5 pm.
All changes by a supervisor must be entered by Friday at 5 pm.
Approvals only (no changes) must be entered by Mondays at 12 noon.

When can I re-set an employees schedule

Schedules can be re-set only at the beginning of the payperiod . Payperiods run Saturdays through Fridays. A payperiod must be reset by the first Monday of the new payperiod. Users have been trying to re-set schedules in the middle of the payperiod and in some instances it has severely impacted the Time Approval Process.

Someone is showing in my work group for approval who is no longer employed. What do I do?

You must change their time to 8.00 LWOPA (Leave Without Pay Authorized) for each day within the current pay period. If a holiday falls in the current pay period, you must enter 8.0 LWPHL (No Holiday Pay) on that day. Do not enter this beyond the current pay period in which you see their name so that Payroll can delete them from the supervisor's list for time approval.

I'm FLSA covered. Can I flex my time during a two week period, using SHARE?

No. The system allows FLSA covered employees to flex only within one 40 hour period.

I'm FLSA exempt. Can I flex my time during a two week period, using SHARE?

Yes.

Can I approve time throughout the week?

Yes. Note you can only change time through Friday. You can only approve time (not change) for the previous week on Mondays.

I am a supervisor and I don't have a User ID, how do my employees get their time approved?

Your supervisor will need to approve your employees' time.

How can I find my entire workgroup that I need to approve?

Open HCM

Click on Manager Self Service

Click Time Management

Click Approve Time and Exception

Click Payable time

Click the magnifying glass next to the Department box

Select your department chart field

If you don't see your department number on this first page, go to the top of this chart where it has an arrow to get to the next page e.g., 1-100 of 156, (Click the arrow to get to 100-156.

After you've clicked on your department number, change the Start date to the beginning date of the pay period.

Click Get Employees.

The result may be all or part of your workgroup. The spreadsheet is really wide, so to get the balance of your employees, move the scroll bar on the bottom all the way to the right. At the top of this screen you may see an arrow and a number which indicates the number of employees on this page and the next page.

Click the arrow.

This will reflect the balance of your workgroup.

What do I do if one of my employees is not on my work list or it appears, is not in SHARE at all? How can I find a single person's name whose time or exceptions I need to approve?

In HCM, click on Manager Self Service

Click on Approve Time Entry

Click on Payable Time

Click on the magnifying glass to the right of the box labeled Employee ID

Click Look Up Value

Click Advanced

Click Display Name

Select Contains from the drop down box

Type in your employee's last name

Click Look Up

Click on your employee's name

Change the start date to reflect the pay period (July 1 through July 14)

Click Get Employees

Your employee's time schedule will appear.
